Connect your WhatsApp
Connect your business number by QR code, generate connection links for salespeople, and understand the official API.

WhatsApp is the heart of HexTrack: it's how conversations become leads and how the pipeline moves. You connect it with a QR code, just like WhatsApp Web — it takes under 2 minutes.
Before you start
- Have the phone for the number that will be linked to this account (your business number) in hand.
- That phone needs to be online. The session is linked as one of WhatsApp's linked devices.
- Connecting is an owner/admin action.
Connect by QR code
- Open Settings → WhatsApp from the sidebar.
- Click "Generate QR code". The code appears on screen and expires in 60 seconds — if it lapses, click "Generate new QR code".
- On the business number's phone, open WhatsApp and go to Settings → Linked devices.
- Tap "Link a device".
- Point the camera at the QR code on your computer screen.
- Wait a few seconds: the page checks by itself and the status flips to WhatsApp connected. There's no need to refresh — you can also click "I've scanned, check connection" to check immediately.
- When you connect (or reconnect), HexTrack imports the last 60 days of conversations — without triggering any automation on them.
Multiple numbers and salespeople
In the "Numbers & salespeople" section of the same screen, you connect one number per salesperson without needing their phone on your desk:
- Give the number a name (e.g. the salesperson's name) in the Salesperson name field and choose its number type: support agent or salesperson.
- Click "Generate connection link". The link has an expiry — the screen shows "Link valid until".
- Copy the link and send it to the salesperson. They open it without logging in, see the QR code and scan it with their own phone.
- Once their phone connects, the user for that number is created automatically and the phone number appears next to the name.
- Need to reissue? "Generate new link" invalidates the previous one; revoking cancels an active link.

Meta's official API (Cloud API)
Using Meta's official API? That connection is switched on by HexTrack support, without interrupting the QR code flow. It's the right option for high volume and maximum stability: a verified number, with no phone session. The screen shows the Meta official API integration status — webhook URL, verify token and app signature — once support has configured it with you.
Disconnected? Reconnecting
A Disconnected status usually means the phone is offline or the session expired.
- Check that the number's phone is switched on and online.
- Open Settings → WhatsApp and click "Generate new QR code".
- Scan it again, with the same steps as above. Conversations and history stay intact — reconnecting deletes nothing, and the last 60 days are re-imported without triggering automations.
- While you're disconnected, a notice sits at the top of the dashboard for the whole team.
Common questions
Can I use my personal number?+
You can, but we don't recommend it: that number's conversations become visible to your team according to their permissions. A dedicated business number is the better setup.
The QR code expired before I could scan it.+
Normal — it lasts 60 seconds for security. Click "Generate new QR code" and scan with Linked devices already open on your phone.
I scanned it but it still says Disconnected.+
Give it up to 30 seconds — the page checks on its own. If nothing changes, generate a new QR code and try again; if it persists, use "Refresh status" and, as a last resort, disconnect and connect from scratch.
Does connecting log WhatsApp out on my phone?+
No. It works like WhatsApp Web: your phone keeps working normally and HexTrack is simply one more linked device.
