Team and permissions

Invite partners, salespeople and agents with the right role — each one sees only what they need.

In HexTrack every person joins with a role, and the role decides what they see. A salesperson opens the system and finds conversations, CRM, clients and tasks — no billing, no WhatsApp numbers, no pixel. A traffic manager sees the numbers and the reports, but changes nothing. That's how you open the system to your team without opening the whole operation.

It all happens in Settings → Team.

Before you start

  • Inviting, generating links and setting passwords are owner or admin actions. Anyone without permission sees "No invitation permission" where the form would be.
  • The role is chosen at the moment of the invitation. There's no button yet to change someone's role once they're inside the account — plan it when you invite.
  • The free plan includes 1 user. While the account sits on it, invitations are refused on the limit: move up a plan to open a seat.

If someone on a restricted role types the address of a forbidden screen into the browser, the system sends them back to Conversations (or to the Dashboard, for the traffic manager). You never have to hide links by hand.

Invite someone

  1. Open Settings → Team.
  2. In the "Invite" card, type the person's email.
  3. Under Role, choose the role. The list itself describes the main ones.
  4. Click "Create invitation".
  5. If you see "Invitation sent by email", the person already has the link. If you see "Invitation created. Copy the link to send it manually", the email didn't go out: use the "Copy invitation" button in the "Invite link" block and send it over WhatsApp.
  6. The invitation is valid for 7 days.

Pending invitations and members

  1. Still in the "Invite" card, scroll to "Pending".
  2. Each invitation shows the email, the role and a badge: Open (still valid) or Expired.
  3. Click "New link" to generate a fresh link — useful both for an expired invitation and for someone who lost the message. The old link stops working.

The "Members" card shows everyone in the active account: name, email (or phone) and their role badge. If the list comes up empty right after you land, click "Refresh" at the top of the screen.

Give a number user a login

When you connect a WhatsApp number, HexTrack automatically creates a number user. It starts in "Assignment only" mode: it exists to receive conversations, but can't sign in. To grant access:

  1. In Members, find the row with the "Assignment only" badge.
  2. Click "Set password".
  3. Type a password of at least 8 characters and click "Enable login".
  4. The badge changes to "Login active". From then on the person signs in with their phone number and that password, and sees only their own number's conversations.
  5. To change it later, the same button appears as "Reset password".

Working with more than one account

If you serve different clients (or run more than one company), each is a separate account, with isolated data.

  1. At the top of the Team screen, the "Accessible accounts" card lists every account you're a member of. The current one carries the Active badge.
  2. Click "Open" on the account you want — the whole panel reloads with its data.
  3. The active account determines everything you see in HexTrack: CRM, conversations, reports and billing.
  4. To create a new account, go to Settings → Account and use "+ Add account" — it's charged separately, prorated on the spot.

Common questions

I invited someone with the wrong role. How do I change it?+

Today the role is set on the invitation and the screen doesn't let you edit it afterwards. If the person hasn't accepted yet, the pending invitation lapses after 7 days — just don't use it and create another with the right role. If they're already in, contact support.

How do I remove someone who left the company?+

Removal isn't on the Team screen. To cut access immediately, change the user's password (for a number user) and contact support to disable the access permanently.

How many users can I have?+

It depends on your plan — usage shows under Plans & Modules, in the Users bar. The free plan includes 1. Once you hit the limit, invitations are refused until you free up space or move up a plan.

My salesperson says their menu disappeared.+

It didn't: the Salesperson role only shows CRM, Tasks, Clients, Conversations and Coach. If they need reports, the right role is a different one.

Can the traffic manager break any data?+

No. They're read-only: the system refuses any write coming from that role, even via a URL shortcut.

Someone accepted the invitation and landed in the wrong account.+

They were probably already a member of another account. Ask them to open Settings → Team → Accessible accounts and click "Open" on the right one.
