Custom fields
Turn your website form fields into structured data on every client record.

Your form asks the questions that matter to YOUR business — project type, budget, square metres, health fund. Custom fields turn those answers into structured data on the client record: instead of being buried in the body of a form email, they show up organised on each lead's profile.
How the cycle works: HexTrack auto-detects the fields arriving from your website forms, you promote the ones you care about, and from then on every answer to that field appears on the client record.
Before you start
- You need Website Forms set up (Settings → Website Forms) with at least one form already sending leads — detection is driven by real submissions.
- Promoting, renaming and deleting fields is an owner/admin action.
Promote a detected field
- Open Settings → Website Forms.
- Scroll to the "Custom fields" section. It shows two groups: "On the client record" (fields already promoted, shown as blue chips) and "Detected in forms" (fields that arrived in submissions but haven't been promoted yet).
- Under "Detected in forms", click the field you want — the button with a +.
- That's it: the field moves to "On the client record". From the next submission onwards — and for the ones already received — the value appears on the lead's profile.
Where the values show up
- Open Conversations and go into the lead's conversation (or get there from the CRM card, via "Open conversation").
- In the conversation's side panel, the "Custom fields" block lists each promoted field with the value the lead filled in.
- This data travels with the lead — your team sees the context without digging for the form email.
Rename or delete a field
The name that comes from the form isn't always pretty. To give it a friendly label:
- On the client record (conversation panel), hover over the field name in the "Custom fields" block.
- Click the pencil icon, type the new name and confirm with ✓ (or Enter).
- The label changes for every client — you're renaming the field definition, not just that one lead.
To delete, click the bin icon next to the field and confirm. The definition disappears from every client record, but the original form submissions are not deleted: if you promote the field again later, the values come back. You can also remove it from Settings → Website Forms, by clicking the bin on the blue chip.
Your plan's contact limit
Every plan has a contact ceiling — on the free plan it's 200. When your base goes past it, nothing is refused and nothing is deleted:
- An incoming contact is always stored, whatever the source: WhatsApp, website form, webhook or spreadsheet import.
- The quota covers your oldest contacts, the base you already had. The newer ones, above the ceiling, are locked: they appear in the list with a "Locked" badge, with their data masked, and the detail view won't open.
- The hint on screen is the same everywhere in the platform: "This contact is above your plan limit. It stays saved — upgrade to unlock it."
- On upgrade the limit goes up and everything unlocks by itself. There's no migration, no re-import and no support ticket.

Common questions
Can I create a field from scratch, without a form?+
Today custom fields are born from your website forms — auto-detection guarantees a field only exists if there's real data behind it. For free-text notes about a lead, use Tags and notes in the CRM lead panel.
I promoted a field and it doesn't show on the record.+
The record only shows fields that have a value for that lead. If the lead came in via WhatsApp (not a form), they have no such values — open a lead that came from a form to check.
Does renaming affect the form on my site?+
No. The label is display-only inside HexTrack. The field's technical key (the one from your form) stays the same, so submissions keep matching the right field.
Did I lose contacts when my account moved to the free plan?+
No. Nothing is ever deleted. Contacts above the limit stay saved and locked until you upgrade — and they open normally again as soon as you do.
