Create and move leads in the CRM kanban
How leads enter the pipeline, how to drag them between stages, and what every field on a card means.

The CRM is the operational kanban for conversations and conversions: every column is a funnel stage and every card is a lead (one conversation). You move cards as the deal progresses — by dragging on desktop, or with the move button on mobile.
How a lead enters the pipeline
A card shows up in the CRM in four ways:
- A WhatsApp conversation — the most common one. Someone messages your connected number and the lead is created automatically, already with its source identified when it came from an ad or a trackable link.
- A website form — with Website Forms set up, every submission becomes a lead (the card shows the "Form" source tag).
- Manual entry — go to Clients → New client, fill in at least name and phone, and save. The lead appears in the pipeline at the stage you picked.
- Bulk import — in Clients, use the spreadsheet (CSV) import to bring your old database over in one go.
Move a lead to another stage
On desktop, by dragging and dropping:
- Open CRM in the sidebar.
- Click and hold the lead's card.
- Drag it to the new stage's column — the column highlights the drop area.
- Let go. The change saves immediately and is recorded in the lead's history.
On mobile:
- Tap the card to open the lead panel.
- Tap "Change stage".
- Pick the new stage from the list and confirm with "Move lead".
- Swipe sideways to move between the kanban columns.
What can happen when you move a lead:
- A purchase stage: HexTrack asks for the sale value (and the date) before confirming — that's what feeds revenue on the Dashboard and in reports. If the account has the Meta integration active, the purchase event is sent to optimise your ads.
- A proposal stage: turns on automatic follow-up — HexTrack creates the follow-up task and, if configured, the follow-up message over WhatsApp.
- A lost stage: closes the lead. The card leaves the active flow, but nothing is deleted.
The lead panel
Click any card to open the side panel. It brings together:
- Client details: name, phone (required), email, address with postcode lookup.
- Journey: current stage, the board the lead lives in, temperature (Hot / Warm / Cold — set by hand, or by the AI on paid plans) and the assigned salesperson.
- Tracking and source: if it came from an ad, you see the campaign, ad set and ad, with a link to open the ad; if it came from a trackable link, you see which one.
- Sale: value, date and notes for the purchase; you can edit the value later.
- Contact attempts: log every attempt with a note; on the third attempt HexTrack suggests closing the lead out.
- Tags and notes: free-form tags for segmenting (e.g. "quote", "urgent") and internal notes.
- Open conversation: a shortcut straight into that lead's WhatsApp chat.
Filters and the overview
- Stage chips at the top show how many leads sit in each stage — click a chip to filter; the Won chip shows the total converted.
- Temperature filter: All, Hot, Warm, Cold or Unclassified.
- Search by name or phone number.
- Export CSV downloads the filtered pipeline as a spreadsheet.
- Columns with a lot of cards show "Show more" — the CRM loads in batches so it stays fast even with hundreds of leads.
Customise the funnel stages
- In the CRM, click "Funnel stages".
- For each stage you set Stage name, Color and Order (drag by the handle, or use the arrows on mobile).
- Turn on the switches that give the stage its superpowers: "Send event" marks the stage as a sale (it asks for a value and sends the purchase event to Meta); "Enables follow-up" marks the stage as proposal sent and turns on the automatic reminder; "Closes the lead" marks the stage as lost.
- Save on each row; use "New stage" to add one and the bin icon to delete.
- After reordering, confirm with "Save order" — an amber notice stays up until the order is saved.
Common problems
I dragged a card and it snapped back.+
The save request failed — the CRM undoes the move rather than showing you something that was never stored. Check your connection and try again.
I can't save a lead without a phone number.+
The phone number is the lead's identifier on WhatsApp — it's required, even for manual entries.
I moved a lead to the sale stage and it asked for a value.+
That's on purpose: without a value there's no revenue in your reports. If you don't know the amount yet, leave the lead one stage earlier.
A contact shows a "Locked" badge.+
It's above your plan's contact limit. It stays saved — upgrade to unlock it. Nothing is deleted.
